What Is Inside

  • Four caller flows: a stranger, a customer with open work, a past customer, and a repeat caller, with the first text for each
  • Day and night first text templates that never promise a callback the clock cannot keep
  • A caller lookup that fails open, so a slow or broken lookup never stops the reply
  • Handoff rules with a grace period, so a handed off customer is never left in silence
  • STOP, HELP and START handling that works with your texting provider instead of against it
  • A fourteen step test script you run before launch and after every change
  • An outcome alarm checklist, plus a small tested function that decides when to wake someone
  • Copy-ready JavaScript for the hour check, the lookup, the handoff rule and the alarm

Who it is for. Owners and builders setting up a text reply for missed calls at a service business, on any phone or CRM system that can send a text when a call is missed.

Time it saves. Our estimate is that it saves a builder two or three days of design and testing, and saves the owner the weeks it takes to notice a wrong text going to real customers.

What You Get

A missed call textback sounds simple. A call goes unanswered, a text goes out, the customer replies. Set it up in an afternoon and forget it.

The trouble starts when it works. The same text goes to a stranger and to a customer who is waiting on a quote. It goes out at nine at night promising a callback within the hour. A staff member replies by hand and the system replies over the top of them. Nothing errors. The texts just say the wrong thing to the wrong person, and nobody sees it.

This blueprint is the finished design. The flows, the texts, the handoff rules and the tests are all written out. You fill in your business details and build it on the system you already use.

What Is Inside

Four caller flows, each with its own first text. Day and night templates keyed to the clock. The lookup rules that keep a known customer from getting a text meant for a stranger. Handoff rules that let a person take over without the bot talking across them, and without the customer being dropped. STOP handling. A test script to run before launch and after every change. And an alarm that checks whether customers actually got answered, not just whether the job ran.

The code samples are short, plain JavaScript you can adapt to any stack. The texts and rules work even if you build the whole thing with no code, inside a CRM workflow tool.

What It Does Not Do

It is not software. It does not send texts for you. You need a phone system or CRM that can trigger a text on a missed call, and a texting number registered for business use. It also does not write copy that sounds like you. The templates are a strong start. Read them out loud and change the words until they sound like your front desk.

Where It Comes From

We run an automated front desk for a working auto repair shop every day. Every rule in here exists because a real text once went out wrong. The free guide on missed call textback teaches the idea. This is the version you build from.

Questions People Ask

Will this work with my phone system?

If your system can send a text when a call is missed, yes. The flows and texts work in any CRM workflow builder. The code samples help if you or a developer are building it yourselves.

Do I need to register my texting number?

In the United States, business texting from a local number needs carrier registration, often called 10DLC. Your texting provider handles the form. Do it before you launch, because unregistered texts get blocked.

Is it legal to text someone who called me?

Replying to someone who contacted you first is generally treated as a response, not marketing. You still must honor STOP right away. This blueprint is not legal advice, so check the rules where you operate.

Can the bot quote prices?

The blueprint says no. It drafts and hands off. A price a bot sends is a promise the business has to keep, and that is an owner's call, not a setting.
