Where the Hours Go Today

Here is an example week. Say a shop gets 40 calls a week and misses a few each day because everyone is under a car.

  • Monday. Three missed calls before lunch. By the time the owner calls back, two have booked somewhere else.

What We Run Instead

When a call goes unanswered, the caller gets a text within seconds. It says who you are, that you saw the call, and asks what they need. Most people would rather text than leave a voicemail anyway.

An intake agent carries the thread from there. It asks the questions you would ask. For a shop that means year, make, model and what is wrong. For a plumber it means the address and whether water is on the floor. It writes the answers into your CRM so nobody has to ask twice.

The agent knows what time it is where you are. During open hours it says someone will call back soon. After hours it says when you open and what happens then. It does not promise what the day cannot keep.

It also knows when to stop. If the customer asks for a price you have not approved, or is upset, or asks for a person, the agent says a person will follow up and alerts your team. Your team can jump into the same thread and the agent steps back.

A few rules are built into the engine because we learned them the hard way:

  • Know the caller first. A returning customer should not get the same greeting as a stranger.
  • Keep the words in one place. Copy stored in two places drifts, and the old version comes back.
  • Check if a person is already replying. Two answers to one customer looks careless.
  • Alarm on the outcome. We watch for leads that got no reply, not just whether the job ran.
  • Never quote a price nobody approved.

We will not let the agent give prices, diagnose problems, or make promises about when work will be done. Those come from you. The agent collects the facts and hands off.
